Guest Information, Registration Terms, and Retreat Policies

| Welcome. We are honored to receive you at the Clergy Wives Retreat. This document is intended to help you prepare well, understand key deadlines, and know what to expect so that you can arrive ready for a peaceful, restorative experience. |
RETREAT OVERVIEW
The Clergy Wives Retreat is designed as a gentle rhythm of prayer, fellowship, quiet, and rest. It is intended to be a welcoming space for clergy wives and clergy widows to receive encouragement, build connection, and step away from daily demands for a few days set apart.
REGISTRATION AND PAYMENT
- $100 deposit is due at the time of registration.
- Participants may either pay in full at registration or use a payment plan consisting of three equal installment payments.
- Registration closes on June 29, 2026.
- Final payment is due no later than July 3, 2026.
- If full payment is not received by July 3, and no prior arrangement has been made, the registration spot may be released to another participant.
If you anticipate difficulty meeting a payment deadline, please contact us as early as possible. We want to communicate clearly while also making space for conversation about reasonable options.
REFUND POLICY
Because retreat planning requires advance commitments for lodging, meals, and participant materials, the following refund policy is recommended:
- The $100 registration deposit is non-refundable.
- Cancellations made on or before June 15, 2026: refund of all amounts paid except the $100 deposit.
- Cancellations made June 16–June 29, 2026: 50% refund of amounts paid beyond the deposit.
- Cancellations made after June 29, 2026: no refund.
- Exceptions may be considered in cases of serious illness involving hospitalization or death.

TRAVEL EXPENSES AND TRAVEL RESPONSIBILITY
Travel expenses are not included in retreat registration costs. This includes airfare, rental car costs, gas, baggage fees, airport transportation, and other personal travel expenses.
Participants are responsible for arranging their own travel to and from Antiochian Village. Pittsburgh International Airport (PIT) is the closest major airport. We may provide opportunities for attendees to connect with one another for possible carpooling or shared rental arrangements, but each guest remains responsible for booking and managing her own transportation, schedule, and travel-related expenses.
Our work begins in preparing for your arrival and caring for you during the retreat itself. We are not responsible for individual travel planning, travel interruptions, delays, cancellations, or the experience of third-party travel providers.
LODGING AND ROOMMATE POLICY
Participants may register for a single room, double room, triple room, or commuter option.
For single rooms, each participant registers and pays the full single-room amount.
For double and triple rooms, the listed registration amount is the per-person rate. A participant may either:
- Reserve a shared room and provide the name and contact information for her roommate(s); or
- Register as part of a shared room that has already been arranged and provide the name of the attendee with whom she is rooming.
We will not assign roommates unless a participant indicates that she would like a shared room and is open to being matched. Although we will make every effort to match guests according to their preferences, we make no guarantees.
For attendees who specify their roommate(s) at the time of registration, if a registration cancellation occurs by one or more roommates, the option to move into a smaller room for an increased price will be offered if available. If a smaller room is unavailable or undesirable, the Retreat Planning Committee may assign an additional roommate at its discretion.
Antiochian Village will lock all exterior doors after everyone from our group has checked in. Each lodging room key comes with a small gray fob to gain entry at three exterior doors. For this reason, plan to keep your key on you at all times when leaving your room and the building.
The front desk office is staffed from 7:00 AM to 11:00 PM. Once the front desk office closes, an overnight agent will be lodging onsite to assist with any late-night needs. Both the front desk and overnight agent can be reached at extension 400.
FOOD ALLERGIES AND DIETARY REQUESTS
Antiochian Village accommodates dietary restrictions when notified in advance. If you have a food allergy, medical dietary restriction, or other dietary accommodation need, you must follow all required steps and deadlines communicated before the retreat.
- Dietary requests must be submitted here by Antiochian Village’s deadline, July, 10th, 2026.
- Indicating a dietary need during registration does not by itself confirm the request.
- If dietary needs are not submitted by the required deadline, we will be unable to accommodate those requests.
WHAT TO BRING
- Personal toiletries, including soap, shampoo, toothbrush, and other personal care items
- Comfortable clothing
- Layers for indoor comfort and changing weather
- Comfortable walking shoes
- A reusable water bottle
Antiochian Village lodging rooms include bedding, towels, and private bathrooms, but not personal toiletries.
MEALS AND SHARED SPACES
Meals are served cafeteria-style in The Cedars dining room. Guests are asked to arrive on time for meals so that service can run smoothly. Food may not be taken out of the dining area.
Antiochian Village may host other groups at the same time unless the entire facility has been reserved exclusively. We ask all participants to help maintain a peaceful, respectful retreat atmosphere for everyone on site.
VENUE POLICIES THAT APPLY TO ALL PARTICIPANTS
- Quiet hours are observed from 10:00 PM to 7:00 AM.
- Smoking and vaping are not permitted inside the building or lodging rooms. Failure to comply will result in a minimum $200 fee.
- Pets and emotional support animals are not permitted under venue policy.
- Homemade or perishable outside food is not permitted inside the facility.
- Guests should follow room key, exterior door, and vehicle registration procedures shared at check-in.
- Room keys should be returned at departure to avoid a missing key fee.
MEDICAL NEEDS AND PERSONAL RESPONSIBILITY
Each participant is responsible for her own medications, health needs, and non-emergency transportation for medical care if needed. Antiochian Village does not provide health or accident insurance for guests. In the event of an emergency, guests should call 911 and notify the front desk.
COMMUNICATION AND QUESTIONS
We want this retreat to feel gracious, clear, and well held from beginning to end. If you have questions about deadlines, payments, dietary needs, rooming, accessibility, or travel planning, please reach out as early as possible. Some deadlines must remain firm because they are tied to Antiochian Village requirements and retreat planning commitments.
